Add On-Premises Exchange Server Mailboxes - Step-by-Step Process

From the application interface, select the option to Add On-Premises Exchange server Mailboxes The Add On-Premises Exchange Mailboxes Wizard will appear.

Exclude the folders if there is any requirement

Choose the Authentication Method:
Select one of the available authentication methods from the top section of the window:

  • Using Modern Authentication: Connects directly to the on-premises Exchange Server using Exchange Web Services (EWS) with server credentials.
  • Using Outlook MAPI: Adds mailboxes through an Outlook-configured MAPI profile, suitable when Outlook is already configured on the system.

Select Mailbox Type:

Under the Add Type section, choose the type of mailboxes you want to fetch:

  • Primary / Group Mailbox: To add user and group mailboxes.
  • Archive Mailbox: To add archive mailboxes.
  • Public Folder: To add public folder mailboxes.

Mode 1: Using the EWS (Modern Authentication):

In the Connection Name field:

  • Click Create to set up a new Exchange Server connection.

After clicking Create, the Exchange Server Connection window appears. At the top of this window, users can choose how they want to connect to On-Premises Exchange environment or an On-Premises Exchange environment.

Choose Connect On-Premises Exchange Server.

Step 1 : Connect to On-Premises Exchange Server

This window is used to establish a secure connection with the On-Premises Exchange Server.

  • Exchange Version
    Choose the installed Exchange Server version. You can keep Default Server if you are unsure.
  • Active Directory IP Address
    Enter the IP address of the Active Directory server that manages Exchange users and mailboxes.
  • Exchange Name / IP Address
    Provide the Exchange Server name or IP address to connect to the mailbox database.
  • Admin User Email Address
    Enter the email address of an Exchange administrator account that has access to user mailboxes.
  • Password
    Enter the password of the admin account to authenticate the connection.
  • Get All User Mailbox(es)
    Enable this option to automatically fetch all user mailboxes using the admin credentials.
    (Ensure the admin account has impersonation rights for multiple mailboxes.)

Click Connect to verify credentials and establish the connection.

Step 2: Select the Mailboxes you want to add and click ADD mailboxes.

Once the mailboxes are added, the application gives a wizard to validate and confirm the configured Microsoft 365 or Exchange connection.

Click on Next.

Finally, select the mailboxes you want to ADD.

  • Export list to CSV – Exports the displayed mailbox list for reference.
  • Select Mailboxes using CSV – Selects mailboxes automatically based on a CSV file.

Click on finish.

  • The selected mailboxes are shown on the left side of the application for preview.

Preview Mailbox Data

You can now click on any mailbox or item to preview its data. The application provides a live item preview with multiple viewing options to help you review the content in detail.

The preview pane includes the following tabs:

  • Item Body – Displays the main content of the selected item.
  • Item Properties – Shows detailed metadata and properties of the item.
  • Recipients – Lists all recipients associated with the selected item.
  • Attachments – Displays all attachments linked to the item

Mode 2: Migrate Using Outlook MAPI (Outlook Profile)

In the Add On- Premises Exchange Mailboxes window, select Using Outlook MAPI as the authentication method.

Step 1: Add On-Premises Exchange Mailboxes Using Outlook MAPI

This window allows you to add On-Premises Exchange mailboxes using the Outlook MAPI connection method.

  • Connection Method
    Select Using Outlook MAPI to connect through an Outlook profile configured on the system.
  • Domain Name or Domain IP
    Enter the Active Directory domain name or IP address associated with the Exchange Server.
  • User Name
    Provide the Exchange/Active Directory user name with permission to access mailboxes.
  • Password
    Enter the password for the specified user account to authenticate the connection.
  • Select Admin Outlook Profile to Connect
    Enable this option to choose an existing Outlook admin profile for mailbox access. This is useful when Outlook is already configured and has the required permissions.

Once the credentials are verified, click Next to fetch and add the mailboxes.

Step 2: Select the Mailboxes you want to ADD.

Add Mailboxes Options

  • Add – Adds the selected mailboxes to the application.
  • Add Mailboxes from CSV – Allows bulk addition of mailboxes using a CSV file.
  • Select Mailboxes using CSV – Selects mailboxes automatically based on a CSV file.
  • Export list to CSV – Exports the displayed mailbox list for reference.

Click on Finish.

  • The selected mailboxes are added on the Source List.
